Office Administrator

We are seeking a dynamic individual with amazing organizational and interpersonal skills to join our team as Office Administrator. This position requires a high degree of comfort and experience using technology, working independently as well as collaborating with clients and colleagues, and an extraordinary attention to detail. With the help of our part-time office assistant, our Office Administrator ensures the smooth operation of business and client communications.

Key responsibilities include, but are not limited to:

  • Serving as first point of contact for clients calling or stopping in to the office and responding to or triaging client requests and inquiries as needed.
  • Processing tax returns, payroll and payroll taxes, financial statements and other client documents utilizing firm software in our paperless environment.
  • Accounts Payable and Receivable for the Firm.
  • Scheduling client appointments and maintaining calendars for staff.
  • Receiving client documents and scanning, distributing and recording information in firm software.
  • Coordinating the delivery and exchange of documents with clients via the firm portal.
  • Maintaining the integrity of electronic firm record-keeping.
  • Managing office supply inventory and equipment maintenance.

In order to thrive in this position, you will need:

  • Exceptional interpersonal and communication skills, both written and verbal.
  • Organizational proficiency and a keen eye for details.
  • The ability to prioritize multiple projects and tasks assigned.

  • The ability to follow procedures and take direction.
  • Sound judgement to make independent decisions as required.
  • A professional attitude and highly-tuned sense of client confidentiality.
  • A desire to contribute to the long-term success of the firm.
  • A willingness to work overtime as needed, particularly February through April.
